Create one controlled requirement schedule
A bulk steel purchase can include multiple grades, diameters, sections or product forms. Begin with a schedule that gives each item a clear description, required dimensions, supplied form and quantity. Preserve the version used for the quotation request.
Use separate lines for distinct products. This makes it easier to compare an offer with the original requirement and identify any proposed substitute, missing item or changed quantity. A single total-tonnage figure is rarely enough for a mixed request.
Ask for an itemised written quotation
Request the price unit, quantity basis, tax treatment, loading, transportation and unloading scope. Include the same delivery destination and expected receiving schedule when seeking more than one offer.
Confirm the quote date and validity period. Record availability and proposed dispatch timing as stated by the seller. A telephone discussion can clarify a question, but the final commercial scope should be reflected in the written offer.
Plan documentation before dispatch
Identify the product documents, material test certificates and traceability details required by the purchase specification. Ask what will accompany the actual material and how it will be matched to the order.
Confirm the seller and payment details using verified business records. If a seller claims a manufacturer authorisation, check the current official information relevant to that claim instead of relying only on a badge or logo on a website.
Prepare the receiving arrangement
Provide a precise destination, PIN code and receiving contact. Clarify site access, unloading responsibility and any restrictions that need to be considered in a delivery plan. Ask how quantity and delivery records will be established at receipt.
Keep the original requirement, accepted quotation, agreed amendments and delivery documents together. That record supports a clearer handover between procurement, accounts and the team receiving the material.
